Email Security
Email security
As part of our ongoing security focus at the University of Adelaide, email protection has been put into place by Mimecast.
The Mimecast system is robust, performs sophisticated filtering, and integrates well with other recent security updates.
There are three security features Mimecast performs at the University of Adelaide:
- Email filtering
- External email warnings
- URL protection

Email filtering
If an incoming message is considered borderline suspicious (sometimes called “graymail”), it will be held for you by Mimecast and you will receive an automated email asking you to make a decision about its safety
Acting on suspicious emails - it's your call
- All incoming and outgoing emails are filtered for malicious or phishing messages, spam, and other security-related issues. If nothing suspicious is detected, email(s) will be delivered normally. If a message is suspicious, it will be held for you and you will receive an automated email asking you to make a decision about its safety
- Notifications for held messages will be sent each morning, and each hour during business hours. You will only receive a notification if a message is being held for you.
Check each message carefully and choose one of the following options, which will apply to all future emails from this sender:
- Permit / Permit all - you agree that the email(s) are from safe/recognised senders and can be released.
- Release / Release all - you allow this/these email(s) to be released once from this sender (future messages from these senders will be held).
- Block / Block all - always block messages from this or all of these senders.
Note: If you block a sender and then determine that the sender is safe, you will need to log a request via the MyIT Portal to request for the sender become un-blocked.
The decision you make on your email notifications will not determine the outcome for other people receiving the same email. For example, if I block a sender, I will no longer receive their emails, but other people will.
External email warnings
Sophisticated cyber criminals attempt to feign emails to appear as if it is internal and official, often impersonating Executive, IT or HR staff. Mimecast will highlight when an email is sent from outside the University with a warning banner. The aim is to increase your awareness as a user of potentially harmful content embedded in email, and malicious links found in attachments.
Acting on suspicious emails - it's your call
- If you see a warning on top of your email, it means it came from outside the University of Adelaide.
- When clicking on links or opening attachments, please be extra careful. Only click on links or open attachment if you trust the sender and the nature of the email.
URL protection
Malicious parties often attempt to entice users to click on links in emails that may cause harm to your computer and the organisation. They may lead you to a fake login site, or force downloading and running of a malicious file.
Acting on suspicious emails - it's your call
- Mimecast performs a pre-scan of the URL to determine whether it could be dangerous. If the link is determined to be safe, it will silently redirect you to the original link.
- If the link is determined to be potentially harmful, you’ll be asked to decide if you’re happy to continue to the website, or if you want to change your mind.
- By prompting you to think before you click, you can help to strengthen our defences.
