Staff Services Online
Staff Services Online (SSO) is an online, self- service tool which allows you to apply for and manage your leave, view your payslip, manage your banking details, update your personal information, and update your personal profile.
This also includes the recording of qualifications, work clearances, professional memberships and licences, enrolling in HR delivered training courses, viewing training history, recording your Planning, Development & Review (PDR) records, applying for Flexible Work Arrangements (FWA), claiming travel reimbursements and managing casual offer of engagements, and submitting casual timesheets. You can now view the organisational chart, view personalised announcements and retire / resign online.

How can I view my leave balances?
Leave balances can be viewed in SSO, under 'View Absences Balances' or on your payslip.

Do casual staff have access to SSO?
Yes. Casuals, like any staff member have access to SSO. Casual staff have access to the following functionality:
- View payslips
- View/edit personal details
- View/edit banking details
- Timesheets
Casual staff don’t apply for leave in SSO, as they don't accrue leave.

Do Titleholders have access to SSO?
Yes. Titleholders can access SSO however are only able to view/edit personal details.

Does SSO provide a separate balance for sick and carer’s leave?
No, there is only one balance for personal leave. You can take as much carer’s leave as you require from your accrued personal leave balance.

How can I change the dates/cancel if leave request is not yet approved in SSO?
You can request for your manager to “Push Back” the leave request. You can then edit the leave request once it has been pushed back.

How can I view how much leave someone in my reporting line has?
Leave balances for staff reporting to you can be viewed in SSO, under SSO Manager > Absences > View Employee Absence balances.

How do I apply for Leave Without Pay (LWOP)? Who approves this?
You can apply for LWOP in SSO. From the drop down box ‘Type of Leave” select 'Leave Without Pay'. The request will need to be approved by your supervisor and Executive Manager.

How do I assign a leave assessor?
This is completed in SSO. Use the Update Leave Assessor in SSO Manager > Absence Management to assign a Leave Assessor.

How do I set up a leave assessor for someone that does not report to me?
Usually a leave assessor would be one of your direct reports. If you wish to nominate another employee, please put your request in an email to HR Service Centre.

How do I change an incorrect reporting line in SSO?
Change in Reporting Lines can only be requested by a Hiring Coordinator.
There are two options available for a Hiring Coordinator to change the Supervisor for a staff member.
- The option you use depends on how many staff you need to change the reporting line for. If you need to change the reporting line for 20 or less staff then use the HR eForm. Please ensure that you add the staff member’s name and ID for the position that you would like to amend in the comments section of the form.
- If you need to change the reporting line for more than 20 staff, email the HR Service Centre and provide details of the School/Department the changes are for. They will export the appropriate data and send you the file to update and return so the mass updates can be processed.

How do I edit my saved leave in SSO, I cannot seem to find it?
Saved leave can be found under View Absences Requests. You may need to change the date range by using the from/through boxes and clicking on 'Refresh'.

How do I find out what leave I would have at a future date?
You can forecast leave through SSO. This can be done through 'Forecast Absences'.
If you are on a fixed-term contract, you will not be able to forecast to a date past the end of your current contract.

How do I request a proxy?
Navigate to SSO Employee > Delegations > Manage Delegations.
If you are a Manager you will see a link called 'Create Delegation Request'. Select Create Delegation Request to delegate leave management authority to a proxy for a given period (limited to 28 days).
Should you require a proxy for greater than 28 days, you must put this request in an email to HR Service Centre.

How does the system calculate my leave hours?
Leave will accrue progressively during a year of service, and will accumulate from year to year. If you are part-time, your leave will accrue on a pro-rata basis as per the University's Enterprise Agreement.

How to submit a partial day of leave in SSO?
- Enter the start date and end date as the same day.
- Select the absence name and reason
- In partial days select all days from the drop down.
- In the all days hours enter the hours you were not at work.
- Calculate duration and submit for approval.

I have forgotten my SSO password to access my payslips online. How do I create a new password?
Your password is the same as your password to access the University systems.

I submitted a leave request in Staff Services Online (SSO). Has it been approved?
You can check at any time on the status of your leave request. You will need to access the request through SSO, in ‘View Absence Requests’.

My payslip is incorrect. Who should I contact?
Please contact the HR Service Centre.

Should I send my medical certificate to HR?
Upload your medical certificate to your leave request in SSO. Upon selecting ‘Sick Leave’ or ‘Carers Leave’ as the reason to take Personal Leave, a box appears to add an attachment.

What happens if I forget to assign a proxy before I go on leave?
Leave requests not actioned will escalate to your manager after eight days.
You can either access SSO from home to assign a proxy or contact your supervisor to arrange a proxy by emailing your request to the HR Service Centre.

What happens if my manager does not action my leave request in SSO?
SSO will automatically escalate the leave request to your manager’s direct manager after eight calendar days.

What happens if the leave I am applying for now puts my future approved leave request in the negative?
You may need to look at taking other types of leave for the period of the future leave.

What leave types are excluded from SSO?
Parental Leave (formerly Maternity/Adoption Leave), is not available in SSO due to its complexity. Refer to the Workforce Management handbook for further information regarding parental leave.

What leave balances are visible to me in SSO?
Leave balances are available for Annual Leave, Long Service Leave and Personal Leave (sick/carer’s) and Special Studies Leave, if you have an entitlement to that leave type. Leave balances only display if they are more than zero.

When can I expect my Income Statement (previously Payment Summary)?
Payment Summaries are now known as an Income Statement and are provided by the Australian Taxation Office (ATO) via myGov. If you require assistance in setting up a myGov account, or you are unable to access myGov and require a copy of your Income Statement please contact the ATO on 13 28 61.
Payment summaries for years prior to the 2018/2019 financial year will continue to be accessible via Staff Services Online (SSO).

Where do I enter my leave return date in SSO?
When requesting leave in SSO, under Submit Leave Request, you need to enter the end date of your leave rather than the return date. The end date is the last day of your leave.

Can I apply for Conference Leave and Time Off in Lieu (TOIL) via Staff Services Online (SSO)?
SSO is designed to manage HR leave types. Therefore, Conference Leave and TOIL will not be managed or recorded through SSO. Conference Leave and TOIL can be managed locally.
