Hosting events at AHMS

Below is some of the information you'll need to help make your event at the AHMS a success.

For more information, contact Facilities Booking.

  • After-hours building access

The AHMS building is open to staff, students and the general public between 7am and 7pm, Monday to Friday.

If your event falls outside the standard opening hours you will need to either:

    • Hire a security guard through the University of Adelaide to manage the entrances, or
    • Borrow a temporary access card from the AHMS security team and arrange for one of your team to manage the entrance.
  • Alcohol

An Application to Serve Alcohol Form must be completed for all events where alcohol is being served or sold and must be submitted at least 2 weeks before the event.

In addition to the Application, you must submit the following to Facilities Booking:

    1. Event safety checklist and risk assessment
    2. Security Guard hire template

A short-term liquor licence is also required for all AHMS events where alcohol is being served or sold except in limited circumstances. BYO alcohol is not permitted.

As part of your short-term licence agreement, there are additional responsibilities that you must adhere to including to organise a responsible person (RP).

For more information about alcohol on campus, refer to the FAQs and the Alcohol Management and Use Policy.

  • Catering

The Bean Bar is the University's preferred caterer for all events at AHMS. Conveniently located on the ground floor of the AHMS building, the Bean Bar offers a great range of catering options. View the catering menu.

If your event is to be catered by an alternative caterer, the caterer must be approved by Facilities Booking.

  • Loading bay

The AHMS building loading bay is accessible via George Street. If you need access to the loading bay for your event, please advise Facilities Booking of basic details, including the drop off and pick up times.

  • Reheat kitchen

A reheat kitchen equipped with a sink, bench tops, tables and standard power outlets, is located on the lower ground floor and can be used during catered events. Any additional appliances or equipment must be organised and supplied via your caterer.

  • Security

Security guards are required for all University of Adelaide events involving alcohol service to 30+ guests. An additional guard must be hired for every 100 people in attendance.

If your event is being catered for by Taikunthi or the National Wine Centre, they will include a quote for security in your catering quote.

If your event is being catered for by a third party and you are arranging your own Short Term Liquor License, please complete the Security Guard Hire template on the Application to Serve Alcohol webform.
