Hosting events on campus

Below is some of the information you'll need to help make your event on campus a success.

  • Alcohol on campus

    The North Terrace, Waite and Roseworthy Campuses are covered under the University of Adelaide's general liquor licence. This licence allows the serving of alcohol by staff and students for University and club purposes only.

    The University of Adelaide liquor licence does not cover the following:

    • External events involving the serving of alcohol.
    • Internal or external events involving alcohol being sold. This includes alcohol as part of the entry price, alcohol given away for a donation and/or alcohol supplied as part of a club membership.
      • Please note: selling of alcohol is permitted in certain locations on campus, if you are unsure if your event is located in one of these spaces please contact Facilities Bookings.

    All event organisers hosting a function involving alcohol on University grounds must first complete the Application to Serve Alcohol form, then follow the steps below:

    • Complete a risk assessment and alcohol on campus checklist.
    • Organise a temporary 'once off event' liquor licence if applicable.
      • This step does not apply if the alcohol is being catered for by The National Wine Center.
      • This step does not apply if you are a University of Adelaide staff member or student and your event involves the service of alcohol only.
    • Organise a responsible person (RP). This is a member of the event with an appropriate RSA badge. The RP must not consume any alcohol and must be present for the duration of the event,
    • If your event has over 30 people in attendance a security guard must be hired to monitor your event. For every 100 people in attendance an additional guard must be hired.

  • Audio visual equipment

    All of the University of Adelaide's common teaching spaces (including lecture theatres, laboratories and seminar rooms) are equipped with audio visual (AV) equipment. In most cases, this includes a projector, projector/TV screen(s), built in PC, microphones and audio equipment.

    During business hours the University’s Information Technology & Digital Services (ITDS) technicians are generally available via phone to assist with technical support. They will not attend a venue except in cases of broken equipment. 

    ITDS can also provide AV training ahead of time if required. 

    If you are not holding your event in a common teaching space, contact Facilities Bookings to discuss your AV needs. 

    If you require a dedicated technician to be in attendance during your event or if you need AV not provided in the rooms as standard, you are welcome to contact a third-party provider who will quote and charge for their services separately.

  • Authority to display banners

    University approval must be granted before any temporary banners or event signage are displayed on university grounds.

    To obtain approval, email Facilities Bookings with the following information:

    • Size of the banner
    • Detail on how the banner will be secured / installed
    • Display dates
    • A statement outlining any occupational health and safety issues and how they will be addressed

    For a small fee (quote available on request), Facilities Bookings can arrange for the banner/signage to be installed in the approved location. Please be aware that you may also need to have the design and layout of your banner approved by Marketing and Communications.

  • Catering

    The University of Adelaide has a variety of food and beverage outlets on campus, many of which provide an excellent catering service. Visit the campus catering website for information and contact details. 

    The National Wine Centre (NWC) are the operators of Taikunthi restaurant on level 5 of Union House and are the preferred caterer for North Terrace campus events.

    If your event is to be catered by another third-party caterer, the caterer must be approved by Facilities Bookings.

    All food pre-prepared offsite must be delivered ready to serve with serving materials and glassware provided by the caterer. There are very few facilities available at any campus to heat or plate food, or to wash dishes.

    Ensure no hot items such as urns, are placed on tabletops without protection underneath as this can cause damage.

  • Furniture hire

    The University of Adelaide does not offer furniture hire.

    If the furniture in the space you have booked is not suitable, you are welcome to hire it from an external provider, such as White Marquee or Atlas Party Hire. In these instances, you are responsible for all aspects of delivery, installation and collection of items, along with associated costs. 

    You may also need to engage the University caretakers to assist with the temporary relocation of standard furniture in the room. Speak to Facilities Bookings for more information. 

  • Parking

    Parking at all campuses is limited, and parking for the general public at North Terrace is only available at certain times (parking fee applies). Learn more about parking on university grounds.

    Up to two complimentary parking permits may be provided per event, to event organisers, with an additional three permits supplied for $20.00 per day per permit.

    Parking permits only allow you to park your vehicle between white lined spaces unless bunting for specific parks has been organised with Facilities Bookings.

  • Security

    Security guards are required for all University of Adelaide events involving alcohol service to 30+ guests.

    If your event is being catered for by Taikunthi or the National Wine Centre, they will include a quote for security in your catering quote.

    If your event is being catered for by a third party and you are arranging your own Short Term Liquor License, please complete the Security Guard Hire template on the Application to Serve Alcohol webform.
